Finance Council Meeting Minutes

October 27, 2009 – 4:00 pm

 

Council Members Present:  Rita Borski, Bill Boston, Bill Boylan, John Clifford, Bob Hollar, Marg Ostrowski, Shirley Berger-SPACS Commission Rep and Beverly Wasieleski-Financial Secretary.

 

Council Members Absent:  Fr. George Thayilkuzhithottu, Jackson Case, Lee Falkavage

 

1.  Opening Prayer – Bill Boston

2.  Minutes of Finance Council Meeting Sept. 22, 2009 approved as presented.

3.  Liaison Reports-Email Report to Council Members

     a.  Pastoral Council – Lee Falkavage, no report

     b.  Staff – Sara Rogers

          *Staff Meeting on Oct. 15-Watched Safe Environment video and updated 2009 paperwork.

          *Review procedures related to baptism set-up.

          *Barb Reed requesting advertising for Senior Bingo in bulletin and/or newsletter.

          *Issue of concern from school staff whether cleaning company needs to have Safe Environment

            training.

          *Discussion regarding Food for Poor weekend of November 14-15 and visiting priest arrival.

          *Review of Funeral Planning procedures and updates made to process/sheet.

          *Fr. George reviewed dates of his vacation:  October 19th-November 20th.

     c.  SPACS Commission – Shirley Berger

          *SPACS Commission meeting held Oct. 8, 2009.

          *On October 15th, the two new classrooms at St. Bron’s will be dedicated.  A $7,000 donation

            was received for two smart boards for the new classrooms.

          *Teachers now have new lap top computers from the Sentry initiative.  In-service will be held on

            the use of these computers, and students will be getting theirs in a couple of months.

          *The laptop user agreement was further discussed and final approval to take place at the November

            commission meeting.

          *Students at Pacelli are being trained as sacristans, readers, and Eucharistic Ministers, and are

            encouraged to continue this ministry in their home parishes.

          *Bishop Listecki announced that the beatification process for Brother James Miller has started.

          *Panacea was very successful but no final dollar known yet.

          *SPACS cell phone guidelines were approved.

          *Copy of Strategic Plan was handed out for review and revisions input requested.

      d.  SPACS Finance – John Clifford

           *Review list to add three people to SPACS Finance who have financial expertise and connections

             within community to generate increased donations.

 4.  Sub-Committee Reports –Email Report to Council Members

      a.  Financial Report/Budget – John Clifford

           *Weekly collections are 9.5% behind last year.           

           *Employee costs are $17,000 under budget mostly because Pastoral Minister position still

             vacant and Faith Formation not filled until September.

           *A $50,000 unrestricted memorial contribution in August has us at a slight YTD gain.

 

           *Budget numbers to be revised when all staff positions filled to have financial statement

             accurately track financial picture.         

      b.  Building & Grounds – Bob Hollar- no report            

      c.  Memorials – Bill Boston

           *St. Stanislaus will host the next Estate Planning Seminar set for May 12, 2010 in Kostka Hall.

             There will be two sessions-12 noon and 6:30pm with each session lasting about 1 ½ hours.

             Presenters will be decided after January 2010.  Planning to serve snacks and refreshments

             prior to each session.

           *Update funeral brochure with current pictures and wording.            

      d.  Diocesan Annual Appeal – Bill Boylan

           *Our target goal is $71,334.  To date we have received $37,055 in total pledged;

             and $30,142 in total cash.  Participation is at 12.69%.              

           *Advance Phase donors expanded this year.  Will send thank you letter to those who have

             responded with a contribution and a reminder letter to the rest asking for their participation

             to achieve a successful Appeal.

      e.  Fundraising – Marg Ostrowski; Jackson Case  

           *At the present time, Marge and Bob Ostrowski are temporary coordinators for the bingo kitchen.

             Peggy Feltz stepped down due to acquiring a new job.  Potential candidates who have expressed

             interest are working with the Ostrowski’s to decide if this is something they want to do.

           *Bingo kitchen procedures on what food to serve and how things are done are currently under

             review.  The attendance for bingo is generally decided by how big the winning potential is

             for super bingo.

           *The first pancake breakfast will be held on November 8.  The kitchen will be staffed by

             Knights of Columbus members from St. Stan’s parish.  Serving will be from 8:30am-11:00am.

             Will be able to use griddles and equipment from the Knights of Columbus for this first time

             before deciding what direction we want to go.

 5.  Major Topic for Discussion  

      a.  Establish Annual Fundraising Events

           *Several ideas proposed were:  (1)Parish lottery certificate with chance to win each month, similar

             to calendar raffle concept; (2)$100 dinner ticket with an evening of entertainment; and (3)Church

             picnic.

 6.  New Business

      a.  Newsletter Articles to be written by the following:

           1.  John Clifford –Financial Update

           2.  Bill Boston - Memorials

           3.  Bill Boylan – Diocesan Annual Appeal

 7.  Closing Remarks

      a.  Jim Dyer visit-will try to schedule for November or January meeting.

      b.  Pastoral Planning Phase II-review handout before next meeting to discuss strengths and

           weaknesses with the proposed plan.

      c.  Stewardship Seminar-scheduled for Nov. 5 in LaCrosse.
